The Opportunity
Revoice is seeking a self-motivated Administrative Coordinator who will play a pivotal role in ensuring the smooth and efficient operation of the organization during a phase of scaling and rapid growth. This position involves a diverse range of administrative tasks, from coordinating day-to-day administrative operations and managing our systems to supporting the Executive Director, President, Conference Director, and other key team members. The ideal candidate will be organized, self-motivated, detail-oriented, a quick learner, and passionate about supporting the mission of our nonprofit ministry.
Key Responsibilities
Administrative Support
- Provide administrative support to the Executive Director and other staff members, including assistance with calendar management, agendas, and meeting minutes.
- Assist with preparing and distributing reports, presentations, and other documents.
- General administrative tasks as needed.
Communication
- Serve as the first point of contact for the organization, handling email inquiries, contact forms, and other correspondence with professionalism.
- Assist in preparing and distributing newsletters, press releases, and other communications.
Financial and Fundraising Administration
- Process contracts, billing, and paperwork for all outside vendors, contractors, and ministry partners.
- Assist with all expense tracking systems, including for major events.
- Liaise with the organization's accountant/bookkeeper as needed.
- Prepare regular financial reports for support-raised staff and relevant reports for the board.
- Generate reports and assist with fundraising appeals, donor acknowledgments, tax receipts, and thank you letters.
Database and Systems Management
- Manage the organization's subscriptions, tech services, and nonprofit discount applications.
- Organize and maintain backend structure for file storage and digital assets in collaboration with other team members.
- Assist with data entry and database management, ensuring data integrity and confidentiality.
- Maintain accurate and up-to-date records of donors, volunteers, and other stakeholders.
- Manage digital resource library, ensuring effective access to subscribers.
Conference and Program Support
- Maintain records and content for training cohorts, ensuring effective access and client satisfaction.
- Assist with conference logistics, including travel arrangements and logistics for conference staff and speakers and on-site event tasks as needed.
- Available to travel and assist on-site at our annual conference.

The ideal candidate will:
- Be highly self-motivated and able to work independently, with a strong focus on detail and accuracy, requiring little follow-up.
- Ability to multitask, prioritize, think, and act in a fast-paced environment with overlapping deadlines.
- Demonstrate proficiency in organizational tasks such as scheduling, record keeping, and logistical coordination.
- Possess excellent written and verbal communication skills for effective internal and external correspondence.
- Show a commitment to maintaining confidentiality and handling sensitive information with discretion.
- Have experience in managing administrative workflows and supporting team members in achieving organizational goals.
- Exhibit proficiency in office software and tools, including word processing, spreadsheets, and databases.
- Be proactive in identifying areas for process improvement and implementing streamlined administrative procedures.
- Prioritize tasks effectively and manage time efficiently to meet deadlines consistently.
- Display a collaborative attitude and willingness to support various team members and projects as needed.
- Willing to travel 3-4 times per year, including approximately one week to support our annual conference.
- Concur with our statement of faith and standards of sexual obedience, and uphold our commitment to historic, Christian doctrines of marriage and sexuality with discernment and grace.
The position will require the ability to drive and lift objects up to 50 lbs. All Revoice positions are also subject to a background check.
