Full Job Description

PRIMARY RESPONSIBILITIES:

Assist with managing travel client relationships by researching and providing information as requested, resolving client concerns, and scheduling the release of time sensitive correspondence.
Manage all incoming WALLSabout communication by sorting, prioritizing and responding to emails and voicemail messages.
Serve as the point of contact for travel clients, staff and vendors for all related inquiries and arrangements related to WALLSabout.
Schedule meetings with travel clients, staff, and vendors as requested, and provide all necessary materials in advance needed in order to be prepared for meetings.
Schedule and support Sales Consultants and travel clients for monthly WALLSabout check-ins.
Collaborate with Operations Manager, Owner, and other staff to prepare and distribute timely and accurate communications with travel clients about their upcoming travel, including but not limited to visa, vaccinations, packing lists, and transportation.
Develop specific schedules for booking travel arrangements (lodging, air travel, ground transportation, etc.) communicating details to clients, and gathering all necessary client documentation leading up to their departure date.
Collaborate with travel clients and vendors to accommodate any special needs to ensure a comfortable and seamless experience for all travelers.
Communicate and make travel arrangements with vendors. Negotiate pricing as directed and collaborate with the Executive Team to secure competitive rates for hotels, lodging, ground transportation, airfare and activities. Assist in making bookings for these items as needed.
Execute all necessary travel arrangements for travel clients, Program Directors and Owner.
Operate as overseas support and work with the Program Directors and vendors to troubleshoot any issues that may arise while travel itineraries are in operation. NOTE: this does require being on-call as needed when a trip is in operation (schedule to adjust to accommodate during these periods).
Coordinate with Sales Consultants and Operations Manager to follow up with travel clients upon return to solicit feedback and implement any changes or suggestions that will enhance future client experiences.
Ensure accurate and organized upkeep of all WALLSabout records and files.
Oversee upkeep of travel website and marketing materials, including general technical support and troubleshooting for pricing pages, travel website, and other needs as arise.
Oversee ordering and development of WALLSabout and other WALLS brand marketing goods known as “swag” (such as shirts, bags, water bottles, hats, etc.). Collaborate with the Owner on “swag” needs and maintain strict inventory of all items ordered and delivered. Coordinate the delivery of “swag” to travel clients as needed prior to their trips.
Assist with the planning and execution of company sponsored events as needed.
Understand basic art gallery operations to provide on-floor guest support during key times of year (including greeting guests in the gallery and operating wine bar).
Assist as needed in other administrative capacities at the gallery during periods between travel itineraries and preparations.

REQUIREMENTS:

Skills/Qualifications for Ideal Candidate

Advanced computer skills.
Demonstrated ability to manage large projects and coordinate the work of multiple parties.
Knowledge and/or experience in booking overseas travel for large groups ideal.
Strong ability to multi-task and have the confidence to raise concerns and convey ideas.
Confident verbal & written communication skills and strong interpersonal and conflict resolution skills.
Must have a valid driver's license and own transportation.
Must be available to work a flexible schedule (typically with advance notice) to meet business demands including evenings and weekends.

Physical/Work Schedule Requirements:

Schedule traditionally operates Sunday-Thursday 10:00-6:00 PM.
Must be available to occasionally work evenings and weekends based on business needs (ex. communicating with overseas operators, working special events or out of town events, etc.).
May occasionally need to lift 20 lbs.
Sitting at a desk with computer screen for prolonged periods.

Experience:
Minimum 1-3 years administrative experience required, preferably in tourism & hospitality.
Proven track record of exceeding goals and establishing/maintaining strong client relationships.

Education and Knowledge:
High School Diploma required
College degree preferred
Knowledge of tourism & hospitality helpful
